Executive Board Minutes 9/18/22

Show Check-outs

First Mates (Summer Show)

Natalie (Co-Director):

“I hope you are all doing well, and my apologies for not making it in person. I'll start my checkout by saying that this process, overall, went extremely well. I am so pleased with how the show turned out and I am thrilled that my last show with Stage Troupe was with such an amazing cast, crew, and creative team.

Obviously, we started the summer with some difficulties, as Orientation did not hold up their end of the bargain and we did not have many students from Orientation attend in June—I believe our grand total was 4 Orientation students out of all of our June audiences combined. Our FYSOP show brought in plenty of first-year students, and we had a decent turnout for Revival, but I wonder if things with Orientation will improve next summer, or if having a summer show that intends to cater to Orientation will be feasible at all.

The only other difficulty we faced this summer was that of promotion. Clearly, Orientation did not help promote our June shows, but I was disappointed with the lack of promotion within Stage Troupe. The producer originally assigned to First Mates had to drop the show for personal reasons—no fault of hers at all—but the producer who replaced her was not in Boston for the majority of the summer. Producing from a different state is very difficult, and I believe more could have been done if we had a Producer who was in the area and able to interact with the production and create adequate promotion for the show. I'm emphasizing this subject mostly because on every single show I've directed in Troupe I have worked with inexperienced producers and, in the end, was forced to create my own promotional materials for each show, or otherwise pick up some portion of the producing responsibilities. At this point, it's a pattern. Being a head producer is a significant amount of responsibility and should be reserved for those with actual producing experience—not because I'm trying to gatekeep, but because it is a vital role that is often under-supported. In addition, there was a lack of Summer Show promotion on the Stage Troupe socials, which could certainly be a side effect of the lack of promotional materials, but it would have been nice to see more effort made.

As for advice for future directors: knowing when your actors need a break is important. This is especially true for longer processes such as summer show, but also for extremely quick turn arounds such as Friends and Family. It's okay to not take yourself too seriously, or for things to not be perfect. This is meant to be fun. Pay attention to the days when your actors seem burnt out—maybe you should let out early, or have a fun run instead of going over blocking a million times. Everything will be okay in the end, so just make sure the process is enjoyable for everyone.

I think those are the most important things I wanted to mention. A big thank you to everyone who worked on First Mates. I am officially out of Troupe (you lucky bastards) but I am excited to see the shows this fall. Best of luck!”

CT Check Outs :,)

Anne

  • Emma

    •  This show helped me get through hard times and it was really meaningful in that aspect

    • Strived for kindness in the rehearsal room

    • Be in tune with actors emotions, avoid burn out

    • Great relationship with Carly really eased the process

    • Made sure the cast felt involved always

    • Learn to put a foot down

    • Flexibility is key, communication is key

    • Setting an excited example

    • Choose a show you love, not something you think others will love

  • Carly

    •  I had such a wonderful experience working on Anne and I could not ask for a better show to wrap up my troupe career with. Our cast, crew, and creative team were stellar from start to finish. Working in the rehearsal room was so fun and Emma did such a stellar job creating a warm, welcoming, funny, but hard-working environment. I could not have asked for a better cast, they put their hearts and souls into these characters, and watching them grow was a joy. The same is said for our crew! There is a gap in tech knowledge from the pandemic and Claire did an AMAZING job teaching techies, letting them flourish, and all the tech elements were outstanding. The tech made this show come to life. Natalie is a queen producer and the promotion, tik toks, and house decorations for Anne were amazing. It was also wonderful to watch her APs learn and invest in the show too.

    • In terms of room for improvement and difficulties, I would still love a bit of expansion in our SM guide specifically with SM-ASM responsibility splits. This was my first time having an ASM and I would have loved a bit of guidance on how that really should go. As well, the SM keys don't include the booth keys and that proved to be a bit of a difficulty here and there during tech week. Finally, and I am sure this will be different for next year, not having to book rooms for rehearsal a week before would have been a big help in easing any room reservation conflicts or funky rehearsal spaces.

    • I loved working on this show and I feel so grateful to have done so :)))

    • Thank you to everyone for everythingggggg you are all amazing :)

  • Claire

    •  A very daunting experience, first big leadership experience, but a wonderful experience

    • So grateful to everyone involved

    • Had a lot of tech drop :(

    • But everyone that stuck around we so committed and talented

    • Planning ahead! Contingency plans!

    • Learned to accept thank yous :’)

    • Such a collaborative experience

    • Techies felt collaborative, took weight off my shoulders

    • Check ins are so vital “a happy cast is a happy show”

    • ATD can elevate shows incredibly

  • Nat

    •  the process went wonderfully! Our creative team had a group chat that we used frequently; having that level of easy and constant communication made for smooth collaboration between all of us. It was a benefit that we were all friends prior to the process, but I have to give Emma, Carly, and Claire so much credit for being incredible at their jobs and being wonderful team members.

    • My producing team was AMAZING. When I produced “Mamma Mia,” I ended up essentially as a team of one, and that experience made me a bit apprehensive coming into “Anne.” Renata, Daphne, and Sophia were legitimately so helpful and driven; I am so ecstatic that all three of them have expressed interest in producing in the fall. They were on top of tasks, responsive, cooperative, and had lots of creative vision. They made this experience so enjoyable for me and I’m so glad I was able to produce this show with them in my last semester with Troupe.

    • We sold out the show two nights, had a beautiful lobby, did lots of fun promo, had a kickass playbill, and have an abundance of great photos from the photoshoot, production, and post-show. The biggest issue that I dealt with was the purchase orders. Even though our wood and paint order was submitted almost two weeks before build week began, I made the rookie mistake of not triple checking with SAO that they had actually placed the order. By the time I was reminded to check on that, it was too late for a proper wood and paint drop off, meaning myself, Claire, Priya, and Katie had to spend an inordinate amount of time in the Space during build week. Please do stress to future Producers that you can never take SAO on their word and always need to triple check that they are doing things when they say they will!! Ah!!!

    • Overall, I am so glad that I had the chance to produce such a lovely show with such a magnificent team. What a great way to end my Stage Troupe career :’)

Wolves

  • Julia

    •  A valuable learning experience in leadership and balance

    • Tech week changes taught me to take a breath and roll with punches

    • So grateful for my amazing cast that brought this to life

    • Also forever indebted to my creative team, couldn’t do any of this without you. We had great communication

    • So glad i could bring this show to our stage, many people had wonderful things to say and i am simply so happy

    • Working to involve everyone, prioritizing mental and physical health

    • Learned to take a step back during tech week

    • Respect is really important!

    • Wish i had cast bonding times

    • I left for a week and it was a great experience for leela to step forward

  • Rayna

    •  Never SMing again but still very fun

    • This show required a lot more foresight than any of us expected

    • 2 day tech week was not it but very impressed by everyone!

    • Regrets not incorporating tech earlier in the process

    • We thought this would be a tech-light show but we were surprised to find some difficulties

    • SM style was hands on work, hands off social

    • We saw some cliquiness, tried to initiate inclusion

    • Very thankful for the amount of creative input I had with rehearsal and tech

    • Accommodating for everybody was very important, helped everyone feel cared for and safe

  • Priya

    •  First time TDing, really interesting to see it through to tech week this time

    • Great experience, such a communicative creative team

    • Very small tech team - great for thank you notes tho

    • Often questioning “will this actually happen?”

      • Like Claire, learned to trust the techies

    • There were a lot of changes come tech week - illness, set changes, etc

    • MACK SAVED THIS SHOW LOWKEY

    • Amazing ATD easy to rely on

    • As a group, we did a good job communicating and keeping things safe

    • Conducted check ins for mental and physical health

    • Is it possible to safety train all creative team members in the future? Not just on tech but on emergency management as well

  • Bill

    • Had a really great time producing!

    • Having Liv as a mentor was really wonderful

    • Working ahead made everything so easy!!

    • Appreciative of creative team!

Wolves

  • Julia

    •  MOVE IN WAS TODAY! It felt really quick and very painless so that's wonderful

    • We are a bit concerned with some illness spreading throughout cast and crew but we’re prioritizing health, making sure everyone is getting the rest they need

    • What’s the plan if someone were to get covid or any other very bad illness show weekend? This isn’t a show that can be done on zoom because of the overlapping dialogue.

    • Looking forward to tech rehearsals! Have been stressing to cast to practice safe marmon activities and not to over exert themselves since it’s gonna be a long week! But a fun week!

  • Priya

    •   last week was our build week, which only lasted two days so that was great! Our set looks absolutely amazing. I went to a couple rehearsals last week as well. Today we had our move in which went very smoothly!! So excited to start tech week on Tuesday!!

I think there are a few people we didn't get today/weren't here so we are planning on finishing up Tuesday. I'm bringing the camera and everything for Bill so he can work on it while i'm in tech. The set looks incredible big thank yous all around to build crew and techies

    • I'm taking a step back from ADing and getting into actor mode. Was difficult getting into character this last week, but we had an incredible run yesterday and I think I know what I need to do to keep that energy going! Acting skillz hehe

    • I also asked CT to circulate a message to company saying to not touch my cane backstage because I have had issues in the past, so i'm glad to have that established! My plan is to fold it and keep it in my backpack so it's never in the way but will talk with whoever is backstage during tech/shows if something else is needed. Pls let me know if there are problems!

    •  since i last stopped by eboard, we had our photoshoot! it went really well and my APs were fantastic. we’ve started creating graphics and posting photos on social media. i did a few make-up headshots today and plan on getting the rest at move in. we’re putting the finishing touches on our warren poster design, but we would preferably have the eventbrite link before submitting. Liv said they’ll send the link my way once they have it, but if SAO doesn’t send it tomorrow we may just use the link to the troupe website and go from there. one of my APs sent out our bio link so our playbill is in the works.

    • the wood and paint order has been a MESS. the order was placed on this past wednesday even though we contacted SABO more than a week before that. so long story short, things are being delivered in four different deliveries and it is a pain BUT we are going to get through it and get everything one way or another.

Mask Policy Chat

Siena:

  • While we can no longer enforce mask wearing, if we keep it as an expectation it’s likely people will continue to follow

  • Meetings and rehearsals should continue to be masked

  • In rehearsal rooms, it’s up to the director's discretion. If the rehearsal is strategically placed and everyone is negative, it’s their choice.

Emma:

  • More comfortable being around masked people, but unmasking for certain scene rehearsals does make sense

  • Already in low-ventilated areas, sipping water, etc

Julia:

  • On the same page as emma

  • What about masking audience members?

    • Can no longer require it :/

Steve:

  • Can no longer require, same with Tsai, Booth, and Wheelock Family Theater

Siena:

  • Fully agree with Emma and Julia, “strategically placed” maskless rehearsals will be beneficial

Emma:

  • Does the backstage masking rule still apply?

  • Maybe not in the wings, but yes in the green room?

    • People have mixed up masks before and that’s icky lol

Funding for replacement tech

  • Do we have a fund for replacement tech? Can we create one from rental money?

    • We once again have a list of things that need replacing

  • Liv can set up a fund for this :)

    • ~home depot~

Space cleaning date

  •  Katie is busy 9-5 that day lol tragic

  • So reschedule to April 24th? Only option at this point.

  • OB wants the space unlocked at 5pm every day this week

    • Katie can do Monday & Wednesday

    • None of us have space keys except Gavin who is awol tonight, will get a hold of him and figure it out

GM dates for room bookings

  • GM 2: March 20th @ 8pm

  • GM 3: April 3rd @ 7pm

  • GM 4: April 24th (right after space cleaning?) @ 2pm in the Space

Spring Showcase

  • Low interest :/

  • People seem to be a lot busier this semester than last, very packed next few weeks

  • If there’s interest in a few people doing skits we can work it into BUSTies?

God’s Favorite Check-Outs:

Will:

  • Excellent process

  • The goal was to foster some younger talent in Troupe - both in the creative team (Zoe/Sarah) and in the cast

  • A lot of kids coming into Troupe have a school-based mindset, so they had to work on thinking about something and THEN executing it - intention driven, no hard blocking.  Very important in a 4 week process

  • Essential that creative teams get on the same page for such a short timeline - director MUST have their vision in place and know how it’s gonna be run in addition to rules/responsibilities

  • Decentralized work should be improved upon for everyone in the group - giving people the ability and power to make their own decisions within the guidelines is extremely important - tried not to give direct commands.  Short form processes are especially reliant on this - put the newer actors in the earlier shows so they can work on planning something and then executing it

  • Needed to work on showing up on time - a bunch of people didn’t do that consistently

  • Individual sessions for inexperienced actors was very helpful - character development as well as ability and confidence increased - Arpita is a good example, having never stage acted before - eventually really came into her own

  • Off-book methods were pretty efficient - stressed that dropping lines is not as impactful as dropping the energy - make sure to focus on keeping that energy up!  They were able to recover very well when things went wrong with lines in shows

  • Put the lines up on a screen - helped them with keeping that energy up rather than having to look down all the time

  • Allow creative team to bring on other people if they want - takes stress off of everyone

  • Everything is a teachable moment

  • Scheduling was very difficult - very few instances to get the whole cast together

  • Creative team with a strong acting background helped - get an AD in particular who has an acting background, allows the director’s vision to get on the stage better

  • Colin wasn’t able to do it for one night - double casting works!  Try to do it if you can - gets more underclassmen involved - don’t take them out of the process completely, because then they lose interest in the club

  • Know when you HAVE to demand something!  Save it for tech week, you’ll probably need it then

  • Creative team debriefs after rehearsals - better than setting up separate creative team meetings

  • “Nothing illegal, unethical, or immoral” - worked well, never had any problems - no drama or anything like that.  Started as a joke but ended up being helpful

  • Touch base with your actors after act 1, and let them adapt - turned it into a drama on Friday to match the energy in the room

  • Integrating with tech was easy because Chris knows what he’s doing

  • Having the creative team in the rehearsal room is a good idea

Zoe:

  • Working with actors for scheduling was a struggle - all of them were busy, but had to be supportive of that so that they continued to enjoy the process

  • Communicating with tech was very important, make sure everything was running smoothly

  • Getting tech involved earlier in the process helps them stay engaged

  • Really enjoyed doing the show!

Chris:

  • The show happened

  • He is exhausted

  • Process was very quick - not abnormal for TiA, but a lot of people dropped as well which made it harder

  • By the end of it a lot of departments just didn’t have assistants, or had assistants that were injured

  • Had three major assignments due so that did not help

  • That being said, the whole tech team was amazing

  • Lots of Troupe veterans helping out the new Troupe people, a lot of people stepped up

  • Tried to make it a good process, Will and John’s philosophy was very helpful for fostering new Troupe people, and it was a success - lots of new Troupies were excited to work on more shows

  • Got a tip?  Ok cool I guess

  • Very fun process overall, creative team was fantastic all around

  • Good mix of old people and new people

  • Recommendations: Build new flats because they are old, and need some new people who could step up to be TD in the future - promising options thus far

  • Show only worked because the techies were very good - allowed a lot more stuff to be done

Theater sound issues update:

  • Talked to Lex about it - one of the speakers is crunchy, Lex knows how the board works

  • They’re gonna come look at it on Friday

  • Liz Smith is gonna come by so she can relearn lights

Planning on meeting with paint and build in a joint meeting on Tuesday to finalize the set and put together a wood/paint order. Sent a measurement Google form to Anne’s cast so hopefully they fill that out soon so Sarah (our head costumes) can contact Wheelock about buying/renting costumes in time for the photoshoot. Also, tech show happened and it was great :)) my parents loved it!

    • This week, I sent out the budget emails to the tech department heads and met with my APs to talk budgets and timelines going forward. We have some campaign ideas that I’m excited to initiate in March :’)

Wolves

  • Julia

    • Scene work rehearsals this week went really well!

    • Ready to jump into blocking

    • Blocked the first two scenes, going to meet again soon to get through the rest

    • Been seeing on instagram that our actors have been hanging out and that makes me super happy!!!!!!!!!!

  • Leela

    • Julia, Rayna and I met finally and blocked the first half of the show. Rehearsals have been going super well! We were able to work through all the scenes we wanted to last week. Our actors have a very strong sense of their characters and are so insightful about their acting choices, so I'm not worried about getting through the rest of the show! Super excited to have soccer balls too. I've been taking notes on character work (mostly big ideas) during rehearsals so we can refer back to them as needed!

  • Rayna

    • Tech show went swell B)

    • I was at a couple days of scene work last week, which were great

    • Attended blocking meeting with Julia and Leela

    • No rehearsals this week

    • Emailed cast about attendance expectations and important dates (we're aiming for off-book early March)

    • Non-urgent question: We want to invite tech/producing departments to watch a rehearsal sometime before tech week (maybe end of March). Is this realistic and where could this happen?

  • Priya

    • i had department meetings all week which went really well, and I’ll be having some more next week! We ordered soccer balls for the rehearsal room, and they have already arrive so they can practice with them (wooo!)
